Compensation range: $33.50 - $38.00 /hour

Position Summary

To perform this job successfully, an Administrative Assistant & Office Manager must be able to perform each essential duty satisfactorily.  Reasonable Accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.

 

Executive Support:

 

  • Manage and triage daily email correspondence, including drafting and follow-ups
  • Coordinate complex calendar scheduling across time zones
  • Prepare monthly reports, memos, thank-you notes, and board communications
  • Assist in planning and booking all travel, dinners, and event reservations
  • Track and process expense reports and reimbursements in BILL
  • Anticipate needs and proactively resolve administrative challenges
  • Support ad hoc projects and confidential assignments

 

Office Management:

 

  • Act as the primary coordinator for Seattle office logistics (supplies, vendors, maintenance)
  • Acts as the Porter representative at OWP brand cohesion for satellite offices
  • Serve as the point person for in-office events, executive visits, and guest reception for Porter
  • Point of contact for the office building landlord, janitorial services and security team
  • Maintain cleanliness, organization, and readiness of shared office spaces
  • Support onboarding/HR and setup for new Seattle-based team members
  • Coordinate with the SF team to ensure operational alignment between locations
  • Manages the relationship with the Porter Hospitality team for all office pantry services and catering for the main floor
  • Provides coordinating support for client sit tests/meetings for Porter Interiors
  • Distribute all mail and packages daily in the office and coordinate all outgoing mail needs, including preparing FedEx packages
  • Maintain the cleanliness and organization of the office and ensure conference spaces are ready for meetings and events, with technology in good working order
  • Evaluate assigned shared spaces daily to ensure they are clean, organized, and fully stocked
  • Provide general support to the office’s team members as needed
  • Monitoring inventory and ordering office supplies as needed
  • Monitoring printer maintenance and supplies

 

Knowledge, Skills, and Abilities

  • Excellent oral and written communication and organizational skills.
  • Excellent interpersonal skills with the ability to work as a team with internal departments, external vendors, suppliers, and customers.
  • Self-motivated and able to make decisions and exercise prudent judgement with minimal guidance.
  • Knowledge of Microsoft Office programs with ability to learn in house programs.
  • Demonstrated ability to organize, multi-task, and problem solve issues while managing competing priorities and commitments to deadlines.
  • Proven track record demonstrating ability to work effectively with minimal supervision.
  • Experience creating and/or supporting presentation development for senior management
  • Detail-oriented and ability to complete work assignments with a high degree of quality
  • Ability to manage multiple tasks and assist multiple team members at the same time

 

Education/Experience

  • BA/BS Degree preferred
  • Minimum of five years of administrative experience, in a fast pace environment
  • Minimum of five years experience in Microsoft Office Suite applications, Word, Excel, PowerPoint, and SharePoint, and Google Workspace
  • Experience working globally for a large, tech, and/or start-up company
